Board Meeting Minutes

April 5, 2020

Present: John Celona, Canyon Chan, Serena Cheng, Brian Emmett, Colin Fat, Chris Hamilton, Jim McClelland, Himanshu Patel, Michael Sherman, Howard Yao.

Call to Order: 

The meeting was called to order at 3:04 pm.

Due to Health Order, all Club events have been cancelled until May.

Postmortem of Events


Directors’ Reports


Attended a recent call with all of the larger PCA Regions. Discussed how COVID-19 had impacted club events, especially track events. Other regions are also considering electronic-only newsletters to reduce cost. 

Treasurer has been brought up to speed on club finances and transition to QuickBooks Online. Club to adopt consistent naming of events for MSR, so all costs get applied to the proper budgets.

A motion to approve the Financial Report was carried unanimously.


Since there have been no recent events, no insurance certificates have been requested or issued. 


No new business, will issue report next month.


A motion to approve the Secretary’s report of the previous Special Board meeting minutes from March 21 was carried without dissent.  

Membership Director:  

As of the time of this meeting, PCA GGR had 3544 members, 2387 of which were full members, 1153 co-members, and 4 lifetime members.  Since the previous meeting, the club welcomed 24 new members, 53 left the club, and 77 renewed.

A motion to approve all new members was carried unanimously.  

The Concours Judge school schedule for 3/15 was postponed, but the presentation was shared, to be used after school gets rescheduled.

Autocross Director:

Our primary site at Alameda is awaiting use approval from City Council. Originally scheduled for the 3/17 agenda, it was postponed to be on the 4/7 agenda. As a backup, Ed Hunter has been in contact with Crows Landing.

On 3/7, 13 GGR and 27 other PCA region members attended the Autocross Instructor School at the Livermore Community Center. It was a four hour event and was a very successful event.

Motoring Director:

Himanshu gave an update on the Motoring schedule. The last tour had 40 spots and was filled within 35 minutes. However the event had to be cancelled and refunds were given to all registrants. Robert had handed all Motoring supplies to Himanshu who will hold them for the next Motoring Director.

Track Director:

Laguna Seca event in May is on indefinite hold, the track needs to reschedule all the professional events first, then they assign dates to other organizations in the order received, so if we get a date we anticipate it being later in the year. The next scheduled track events are:

  • August 28-29 – Club Race only at Sonoma.
  • September 26-27 – DE and Club Race at Thunderhill.
  • October 10-11 – Club Race only at Sonoma.

Social Director:

GGR’s 60th Year Anniversary – founded on April 30, 1960, we will be celebrating online on April 30, 2020 5:30-7:00. Event to be a 90 minute online celebration. An opportunity for each of the Board Members to give a brief overview of their respective events. Looking to collect stories and photos of our club history to share during the event.

There was discussion about what is the best video conference platform to support this event. Zoom Business package is $20/month/user, up to 300 participants, but requires a minimum of 10 users (making it $200/month). Zoom pro at $14.99/month for up to 100 participants and 1 or 2 users is fine seems like a better place for GGR to start. Motion was made to sign up for Zoom, motion was passed unanimously.

Next scheduled Social event is June 5, a  joint event with GGR and RRS in San Jose with a fun run followed by lunch. 

Golden Gate, Redwood and Diablo regions are looking to plan a Tri-Region family picnic.  Looking at holding the event in Sept or October.

Topics for discussion

Zone 7 Representative reported event cancellations have been happening across all 145 Regions around the country. Collin encouraged the Board to continue to keep communication open with club membership during this difficult time. 


There being no further business, the meeting was adjourned at 4:11 pm.
